Data Deletion Instructions

1. What this page covers
This page explains how to ask HiringTree to delete your account and the personal data we hold about you, and what happens after you ask. It applies to everyone with a HiringTree account — Candidates, employers, licensed recruitment partners and training institutes — and to anyone whose details were entered on the Platform by a recruitment partner acting on their behalf.
Your wider data protection rights, including access, correction and portability, are set out in our Privacy Policy. This page deals only with deletion.
2. The short version
- If you can sign in as a Candidate — go to Settings → Leaving HiringTree → Delete my data and submit the request. Nothing else is needed.
- If you cannot sign in, or you hold any other kind of account — email contact@hiringtree.net and ask us to delete your data. See section 6 for what to include.
- Deletion is a request that a person on our team completes. It is not an instant wipe, and some records are kept. Sections 4 and 5 say exactly which, and why.
3. Deleting your data from your own settings (Candidates)
Signed in to your Candidate account:
- Open Settings from the menu.
- Scroll to Leaving HiringTree. You will see two separate options — deactivate, which keeps your data, and delete, which erases it. They do different things; section 7 covers deactivation.
- Choose Delete my data. You may give a reason, which helps us fix whatever drove you away, but it is optional.
- Confirm. You are signed out immediately and the request is recorded against your account.
You do not need to email us as well, and you do not need to explain yourself to an employer or a recruitment partner first.
4. What happens the moment you request deletion
These take effect immediately, before anyone on our team has looked at your request:
- Your profile is hidden. Employers and recruitment partners can no longer find you in a search or in any candidate list.
- No new access can be granted. Nobody who has not already unlocked your profile can unlock your phone number or email address, at any price.
- Your permissions are withdrawn. Every consent you gave — to hold your profile, to contact you, to share your profile with employers and partners, and to process your resume or voice recording with AI — is marked withdrawn and time-stamped.
- You are marked “do not contact”. You drop out of matching, job alerts and every list an employer or partner can reach.
- Your account is signed out and closed. It cannot be reopened by signing in again. Only HiringTree support can reactivate it, and only if you ask us to.
5. What we cannot delete straight away, and why
We would rather tell you this before you decide than after. Erasure on a hiring platform is not a single switch, because your data is not only about you once an employer has acted on it.
- Deletion is completed by a person, not by a script. Your request goes into a queue that our team works through. Once your profile is hidden and processing has stopped — which happens instantly — an operator carries out the erasure and contacts you to confirm it is done. We aim to complete this within 30 days of the request, in line with the response window in our Privacy Policy.
- An employer you have already applied to keeps your application. They need it to close off their own hiring and to meet their own record-keeping obligations. It is marked as unavailable, and your contact details are removed from their view — but the application itself is not ours alone to erase.
- We keep the record of what you consented to. A consent we cannot evidence is not a consent, and the same is true of a withdrawal. Consent records — what you agreed to, when, against which version of our policies, and when you withdrew it — are retained as proof that we did what you asked.
- We keep what the law requires us to keep. Where a legal or regulatory obligation, or a live dispute, requires a record to be retained, it is retained for that purpose only and for no longer than that purpose needs.
- Aggregate counts survive. Figures such as “how many candidates registered through this training institute” remain, because they no longer identify anyone. Nothing in them points back to you.
If any of this is not acceptable to you, say so in your request or write to contact@hiringtree.net and we will deal with the objection rather than the ticket.
6. If you cannot sign in
You do not need an account to ask us to delete your data. This matters particularly if a recruitment partner entered your details on your behalf and you never held a login at all.
Email contact@hiringtree.net with the subject line Data deletion request, and tell us:
- Your full name as it would appear on your profile.
- The email address or phone number your HiringTree account was registered with. Send the email from that address if you can — it is the fastest way for us to be sure the request is yours.
- The name of the recruitment partner, employer or training institute that registered you, if you know it.
Do not send us passwords, passport scans or payment details. We will never ask you for them to process a deletion request. If we cannot match your request to an account from what you have sent, we will ask you for one more identifying detail and nothing beyond that.
We acknowledge deletion requests received by email, and we tell you when the erasure has been carried out. If you have heard nothing within 30 days, reply to your own email — it is the quickest way to reach the same thread.
7. If you do not want to be deleted, only left alone
Deletion is permanent, and it is not what most people actually want. Three lighter options exist, all of them available from Settings while you are signed in:
- Change whether you are looking for work. You can set yourself to open to the right offer, not looking right now, or do not contact me about jobs. Your profile and your history stay exactly as they are.
- Withdraw a single permission. You can withdraw consent to store your profile, to be contacted, or to share your profile with employers and partners, individually. Withdrawing any of these also takes you out of discovery — a permission marked withdrawn while employers keep receiving your profile would not be a permission at all.
- Deactivate instead of delete. Deactivation hides your profile and stops all contact, with the same immediate effects listed in section 4, but your data is kept so that you can come back. Ask us to reactivate and your profile returns.
You can also delete individual items without closing anything: your voice introduction can be removed from your profile at any time, and its audio files and transcripts go with it immediately.
8. Employer, recruitment partner and training-institute accounts
The in-app deletion control is built for Candidate accounts. If you represent an employer, a licensed recruitment partner or a training institute, email contact@hiringtree.net from your registered work address and we will close the account and delete the personal data of its users.
Two things to expect. Organisation verification documents are retained after closure for the audit period stated in our Privacy Policy. And deleting an organisation account does not delete the Candidates it worked with — their data is theirs, held under their own consents, and they exercise these rights for themselves.
9. Complaints
If you are not satisfied with how we handled your deletion request, write to contact@hiringtree.net and say so plainly. You also have the right to complain to the data protection supervisory authority in your own country, and asking us first is not a condition of doing so.
